Thank you for another wonderful event this season. Sharing these memories with your kids has also created the most precious memories for us. We are especially grateful for all our volunteers who put in the demanding work alongside us. It was great to see so many of the same faces but also a little sad at the same time. We have so many events going on this upcoming year that are at risk of huge changes or even discontinued as it is always the same parents putting in the sweat and work. We have come to realize that each event has its requirements, making it imperative that we change how many volunteers we have. In the past, we have always followed the ratio of parents to kids but for safety, many events need even more than the minimum ratio and all our events need more hands on deck to help set up, unload Uhauls, and load supplies up after the event ends.

I am including a list of our events with the upcoming dates and set-up dates as well. If the village of parents can help, we can distribute the time and energy more effectively.


The Murder Mystery Party-September 13th, 2024

The Fall Dance-October 26th, 2024

Harry Potter Yuletide Ball-December 14th, 2024

Prom-April 2025

The Middle School Luau-May 2025


Again, each event needs its own thing. I have included a list of what we need the most.


The Murder Mystery Party-Volunteers the night of the event, this is one event that will require the least amount of parent volunteers.

The Fall Dance-We will need parents to help move tables, set up, chaperone, load supplies onto the truck and unload supplies, and help clean up at the end of the event.

Harry Potter Yuletide Ball-This is a new event, and it is a winter formal. We will need parents to assist in loading the U-Haul on December 13th, setting up tables, assisting the committee in decorating, loading the U-Haul, and cleaning after the event is over.

Prom-We will need parents again to assist in loading the U-Haul the day prior and unloading the U-Haul the day of the event. Heavily themed proms will no longer happen if we do not have parents help in the loading, setting up tables, decorating, and again with clean up and unloading.

The Middle School Luau-We will be adding more games next year for our kids. They love the games to play on the field but again without help from parents, we may have to think twice about adding more to our plate. The U-Haul will need to be loaded the day prior, tables will need to be moved at 4 pm the day of the event, setting up decorations and games the day of the event, help to load and break down all decorations and games after the event, along with moving the tables back to the pavilion area.  We will need parents to help clean each area as a team before leaving the venue. Parents that are uneasy about leaving their kids or their kids are nervous to have you leave, please join us as a volunteer. We have many areas where you can be close by but still give your kiddo their independence.


I know that all these requirements seem like a lot or even unnecessary but without the added help the only other option is to take down themes, cut out adding new features to each event, or cancel the event altogether. For many years it has been a handful of us doing the heavy lifting and it is a lot. It is worth it for the kids but imagine how much better it would be if everyone could pitch in and not just the same handful every event every year. We have big tasks and small tasks, truly there is something for everyone. As mentioned, we often need help to load the Uhauls prior to the event and unload them the next day. Many of our events even have tasks such as running by picking up the food order. If you are unsure how you can help but would like to help, please email us.
